Privacy Policy

1. Introduction

Teacher's Buddy, Inc. ("the Company," "we," "us," or "our") operates goteachersbuddy.com (the "Service"). Teacher's Buddy is an AI-assisted lesson planning and administrative automation tool built for K-12 classroom teachers. This Privacy Policy explains what information we collect when you use the Service, how we use it, and the choices available to you.

Because our Service is used by educators who work in or alongside K-12 schools, we take our data-handling obligations seriously. The sections below describe our practices specifically in the context of a teacher-facing SaaS tool.

2. Information We Collect

2.1 Information You Provide

We collect information you submit directly when you create an account, use the Service, or contact us:

  • Account details (name, email address, school or district name if you choose to provide it, and role such as grade level or subject area);
  • Content you enter into the Service to generate lesson plans, substitute plans, IEP documentation drafts, or parent communication drafts. This typically includes subject area, grade level, learning objectives, and instructional notes you type or paste in;
  • The content of messages you send us through contact forms or email.

Teacher's Buddy is designed so that generating a lesson plan or document draft does not require you to enter student names, student ID numbers, or other student-identifying information. The Service works from curriculum and instructional parameters you provide, not from student records. If you choose to include student-specific details in a draft (for example, in a parent communication), that content is yours and is processed only to return the completed draft to you.

2.2 Information Collected Automatically

When you visit goteachersbuddy.com, we automatically collect limited technical information:

  • IP address and approximate location (city and region level);
  • Browser type, operating system, and device class;
  • Pages visited, referring URLs, and time on page;
  • Cookie and similar identifiers (see Section 5 and our Cookie Policy).

2.3 Children's Data and COPPA

The Service is directed to adult K-12 educators, not to students. We do not knowingly collect personal information from children under 13. Because Teacher's Buddy is a teacher-facing tool designed to align with the requirements of the Children's Online Privacy Protection Act ("COPPA"), we rely on teachers and school administrators to ensure the Service is not accessed directly by minors. If you believe a child has provided personal information to us, contact [email protected] and we will delete it promptly.

3. How We Use Information

The Company uses information collected through the Service to:

  • Operate the Service and return lesson plan drafts, document outputs, and other generated content to the teacher who requested them;
  • Maintain your account and deliver Service features, including saved templates and usage history;
  • Send transactional emails (account confirmations, password resets) and, with your consent where required, product update communications;
  • Analyze aggregate, de-identified usage patterns to improve the quality of document generation and the overall Service experience;
  • Detect and prevent fraud, abuse, and security incidents;
  • Comply with applicable legal obligations.

We do not use content you input into lesson plan or document drafts to train AI models, and we do not sell that content to third parties. Your instructional inputs are processed solely to generate the output you requested.

We do not sell personal information for monetary value. Where applicable state law treats certain advertising arrangements as a "sale" or "share," see your state's section below.

4. Sharing of Information

The Company shares personal information only with:

  • Service providers acting on our behalf (such as cloud hosting, email delivery, and usage analytics) under contractual confidentiality obligations that restrict those providers from using your data for any purpose other than serving us;
  • Law enforcement or regulatory authorities, when required by law or court order, or when necessary to protect the rights, safety, or property of the Company, our users, or the public;
  • A successor entity in the event of a merger, acquisition, or asset sale, subject to this Policy continuing to govern the transferred information.

We do not sell personal information to third parties.

5. Cookies and Tracking

We use cookies and similar technologies to operate the Service, remember your preferences, and measure how teachers use our tools. For a full description of the cookies we set, how long they last, and how you can manage them, see our Cookie Policy.

6. Data Retention

We retain personal information only as long as needed for the purposes described in this Policy, to comply with legal or accounting obligations, and to resolve disputes. Specifically:

  • Active account data is retained for the life of your account plus 12 months after deletion or last login;
  • Lesson plan and document drafts you save in the Service are retained while your account is active and for 90 days after account closure, after which they are permanently deleted;
  • Marketing-list contacts who have not engaged for 24 months are purged;
  • Server access logs are retained for 90 days, then aggregated and stripped of identifying details.

7. Security

The Company uses administrative, technical, and physical safeguards designed to protect personal information, including TLS encryption for data in transit, restricted-access production databases, and least-privilege access controls for Company personnel. No system is perfectly secure; we cannot guarantee absolute security against all threats.

8. Your General Rights

Depending on your jurisdiction, you may have rights including the right to access, correct, delete, or restrict processing of your personal information. To make a request, email [email protected]. The Company will respond within the timeframe required by applicable law.

9. Texas Residents (TDPSA)

Under the Texas Data Privacy and Security Act ("TDPSA"), Texas residents have the rights described below regarding personal data the Company controls or processes.

9.1 Your TDPSA Rights

  • Right to Confirm and Access: confirm whether the Company is processing your personal data and obtain access to it.
  • Right to Correct: correct inaccuracies in your personal data.
  • Right to Delete: request deletion of personal data we have collected from or about you.
  • Right to Data Portability: obtain a portable copy where the Company maintains it electronically and where technically feasible.
  • Right to Opt Out: opt out of targeted advertising, sale of personal data, and profiling for decisions producing legal or similarly significant effects. The Company does not engage in any of these activities.

9.2 Sensitive Data Consent

If the Company ever processes sensitive data as defined under TDPSA (for example, precise geolocation, biometric data, or health data), we will obtain your prior consent. The Service does not currently process such sensitive data categories.

9.3 How to Exercise

Email [email protected] with the subject line "Texas Privacy Request." The Company responds within 45 days; one 45-day extension is available with notice to you.

9.4 Appeal

If the Company denies your request, you may appeal by replying to our response. If denied on appeal, you may contact the Office of the Texas Attorney General Consumer Protection Division.

9.5 California Visitors

If you are a California resident, you may also exercise the rights granted under the California Consumer Privacy Act ("CCPA") and California Privacy Rights Act ("CPRA"), including the right to know, the right to delete, the right to correct, and the right to opt out of sale or sharing. The Company does not sell personal information and does not "share" personal information for cross-context behavioral advertising.

10. FERPA Notice

Teacher's Buddy is designed to support teachers in their instructional preparation work. The Service is structured to avoid processing education records as defined under the Family Educational Rights and Privacy Act ("FERPA"). Because our core features operate on curriculum parameters and teacher-authored instructional content rather than student records, the Company's role is generally that of a tool that assists the educator, not an entity that receives or maintains student education records on behalf of a school.

If your school or district enters into a school-tier agreement with the Company, we will work with school administrators to address any institutional data-handling obligations that apply to your specific deployment.

11. Changes to This Policy

The Company may update this Policy from time to time. Material changes will be reflected by a new "Last updated" date at the top of this page and, where appropriate, a notice within the Service.
